Void property clearance

Lock changes and key control

Know exactly how many keys exist, and where each one is

The short answer

Change or re-pin the locks at the end of every tenancy, because copies cannot be accounted for. During the void, keep a written key register covering contractors, cleaners, agents and viewings, and use a key safe with a code you change between trades rather than leaving keys with several parties. Issue and record the full set at check-in.

What the work involves

Cylinder replacement or re-pinning, a register of issued keys, a code-controlled key safe for trades, and a documented handover to the new occupier.

Rules and responsibilities in Scotland

Insurance conditions during unoccupancy often specify lock standards and secure key holding. Escape from inside must not require a key.

What commonly goes wrong

One key passed hand to hand between trades, and a key safe code that is never changed after works finish.

What it usually costs

Indicative ranges only, to help you judge a quote. They are not an estimate for your property — only the business doing the work can give you that.

  • Re-pinning is cheaper than a new cylinder and achieves the same result.
  • A key safe is a small one-off cost that removes most access friction during a void.
  • Lost-key lock changes mid-tenancy cost more than the planned changeover.

What to do, in order

  1. 1Change or re-pin cylinders as soon as the tenancy ends.
  2. 2Record every key cut and who holds it.
  3. 3Use a key safe with a code changed between contractors.
  4. 4Collect all keys back before the new tenancy starts.
  5. 5Issue a full recorded set at check-in and note the number handed over.

Local detail for the Lothians

  • Tenement flats usually need both a stair door key or fob and a flat key, and the stair fob is easy to overlook in the register.
  • Original Edinburgh flat doors sometimes take non-standard cylinders, so measure before ordering.
  • Common stair entry fobs are managed by the factor in many city blocks.

When you need a professional

Use a locksmith familiar with recognised lock standards, particularly where the insurer specifies a type.

Common questions

Do locks need changing after every tenancy?
It is standard practice, because there is no way to know how many copies were cut during the previous let.
Who holds the stair door fob?
In factored tenements the factor manages the entry system and can supply additional fobs to the owner.
